Position Summary

The Meetings & Events Coordinator is an important entry-level member of SEIA’s meetings and operations team. Working directly with the Director Meetings & Events, the Meetings & Events Coordinator will provide logistical and administrative support for SEIA’s in-person and virtual events, as well as handle all in-office meetings and event requests for internal SEIA staff and guests. 

This position requires a team player who is willing to provide support for both administrative and programmatic tasks. The Meetings & Events Coordinator will be exposed to a broad range of activities within a thriving and dynamic trade association. 

Core Duties & Responsibilities

  • Provide coordination, organizational, and logistical support for events including but not limited to coordinating supplies, name badges, agendas, travel schedules, packing, swag, etc.
  • Plan and implement networking receptions, dinners, corporate events, and other meetings and events as assigned; work directly with event vendors
  • Provide event management platform support (Bizzabo and Zoom): upload & update event content, speaker photos, sponsors logos, etc.
  • Liaise with internal and external speakers, sponsors, and other stakeholders to keep event timelines on track; provide excellent customer service
  • Plan and implement in-office meetings and events for internal SEIA staff and guests
  • Assist with onsite meetings and events and other responsibilities at SEIA as assigned
  • Provide event project management support 
  • Research and recommend new tools & software to allow for continuous improvement of events team operations as requested
  • Oversee interns’ tasks as assigned 

Professional Experience, Education & Other Qualifications

  • Bachelor’s Degree is required
  • 1-3 years of relevant work experience
  • Strong attention to detail and strong organizational skills
  • Time management skills and the ability to work under time pressure in a fast-paced environment
  • Customer service mentality with a positive, “can-do” attitude
  • Experience in MS Word, MS Excel, and event management platforms

Working Conditions

Work is in an office environment

Compensation Range

$45,000 - $49,000 annually
